"ProTour is an approachable and windows-based reservation system that shortens training
time, increases agent efficiency, and provides countless ways to monitor and manage
a large number of bookings and accounts simultaneously.
As a new agent working with a virtually unknown niche in the travel market (windsurfing
and kitesurfing adventure tours) I started my position with a lot to learn. There
were all the new destinations, terminology of equipment I had never used before,
helpless weather forecasting, and countless more small details that I was required
to commit to memory so as to sound confident when a prospective guests called me
to plan their dream vacation. I mention all of this because on top of all this,
I was required to somehow navigate a decades-old Q&A based reservation system (blue-screen
and all) to somehow piece together guests needs - including accommodations , equipment
rental, ground transfers, insurance, requests and notes - and ultimately create
a package to get them on their way out the door and on vacation.
It worked, but was certainly a lot more complicated than it really needed to be.
Plus, once the package was ready, there was no way to even email a quote or invoice
directly from the system, meaning manually typing emails, and to simply hope to
avoid any (costly) human errors in the process. In fact, all of our printing required
those clunky and visibly ancient tracker-feed printers with forms in triplicate.
Simple web-based applications such as hyperlinks and product information pop-ups
were not even close to being available, and in the end, we spent a lot more work
and time per reservation.
Time has moved on since those days, and I have gone from an Agent to the Reservations
Manager, and I was the person responsible for bringing ProTour into our office.
Now that the transition has been made, I can hardly believe what we had to go through
before. The energy and experimentation spent on establishing the path we would need
to take with ProTour was a long and dedicated one, but I can't imagine working without
the system.
To say that upgrading to a modern reservation system was a good business decision
hardly conveys the true worth of the product. Since ProTour has appeared on the
scene, we have been able to offer more complex packages, more customized programs,
and more simplification than we could ever have hoped for. Plus, with some time
spent creating custom invoices (both email and printed) we have been able to add
more design elements, more destination-specific advisements, and a more efficient
means of sending our documentation to our guests as well.
All of this means that as a company we have seen our profitability grow 10%, 15%,
then 20%, and I know that the system is largely responsible. Basic math leads me
to this conclusion: if you can send 3 inquiries for potential clients in the time
you used to spend to send 1, the amount of inquiries-to-reservations will increase.
And don't even let me get started on how great the accounting program to track bills
and payments is...you'll see for yourself.
